Data-Use Covenant

1. You own your work

You retain full ownership of everything you create or upload — your notebooks, datasets, experiments, protocols, analyses, and files (“Your Content”). CollabHub claims no ownership of Your Content. We hold only the limited permission needed to store it, run the features you ask for, and share it with the collaborators you choose — nothing more.

2. We never sell your data

We do not sell, rent, or trade Your Content or your personal data to anyone, for any purpose, ever. We do not monetize your research by selling access to it, and we do not build or sell profiles derived from it. “Sale” here is meant in the broadest sense, including the disclosure of personal data for value under laws such as the California Consumer Privacy Act.

3. We never train AI on your private work without your consent

We do not use the private contents of Your Content to train, fine-tune, or otherwise improve machine-learning models — whether ours or any third party’s — unless you give explicit, specific, opt-in consent that you can withdraw at any time. Training on your private content is off by default and stays off unless you turn it on. (This is separate from the collaboration and search features in Section 4, which analyze your content to help you and are controlled by your own settings.) Aggregate, fully de-identified statistics that cannot reasonably be linked back to you or your work (for example, “how many experiments were created this week”) are not Your Content and may be used to operate and improve the Service.

4. AI runs on your command; discovery runs on your settings

CollabHub’s AI and agent features — the assistants you ask questions of, or run against a notebook, dataset, or protocol — act only when you invoke them, only on the data you point them at, and only to return results to you and the collaborators you have authorized. If you enable a third-party AI provider, we send it only the data needed to answer your request, transiently, under contractual terms that prohibit the provider from training on your data.

Separately — and this is important to be plain about — CollabHub has background features that analyze your work to power collaboration and search: synergy matching and collaboration discovery (which look for people whose work complements yours) and knowledge-graph extraction (which structures your content so you can search and connect it). You control discovery with your discoverability setting, which is Discoverable by default (the synergy engine may scan your content to produce anonymous matches only). You can switch it to Private at any time to turn off synergy scanning entirely, or to Open to allow collaboration introductions. Any matches we surface to another researcher are anonymized unless you choose to be introduced. Turning synergy off is forward-only: it stops all future matches and prevents any further identity disclosure, but it does not retroactively remove matches already made, or identities you already chose to reveal — those were surfaced with your earlier consent, and are honored. When synergy scanning is on, the platform may also surface a content-anonymized version of your negative-result observations and their resolutions to another consenting lab’s AI troubleshooter facing a similar problem (and surface theirs to you). Before that text leaves your workspace we strip the personal and proprietary identifiers our system detects, and we withhold entirely anything we classify as sensitive or regulated (for example clinical / protected-health or export-controlled content). This de-identification is automated and best-effort, not a guarantee that every identifier is caught, so treat what you record in observations accordingly. This cross-lab sharing is controlled by a separate, workspace-level setting — Allow the synergy engine to scan this workspace, in Workspace Settings — and not by your personal discoverability setting. Switching your own discoverability to Private stops you being surfaced as a synergy match, but it does not stop this workspace’s content-anonymized negative-result text from being surfaced to another lab; turning the workspace setting off does. Apart from these setting-controlled collaboration features, we do not run background analysis of your private content for our own purposes.

5. No advertising, no surveillance

We do not serve third-party advertising in the Service, and we do not mine Your Content to target ads or to profile you for sale. We are funded by subscriptions, not by monetizing your research.

6. You can leave with everything

You can export a portable copy of your records — your notebooks, experiments, protocols, datasets, and their metadata — at any time using the in-app export tools, and you can download your uploaded files directly from the app. There is no lock-in and no exit fee for taking your own work. When you delete your account or specific content, we delete or irreversibly anonymize it on the timeline described in our Privacy Policy, except for the narrow records we are legally required to keep.

7. The only times we touch your private content

We access the private contents of Your Content only to the minimum extent needed to:

• operate and host the Service at your direction (for example, storing, indexing, or rendering what you upload);
• provide support that you specifically request;
• keep the platform and its users safe — investigating abuse, malware, or a security incident; or
• comply with a valid, binding legal obligation, narrowly and, where we are legally permitted, with notice to you; or
• power the collaboration and search features described in Section 4, according to the discoverability and consent settings you control.

Internal access is limited to personnel who need it for these purposes, is logged, and is governed by confidentiality obligations.

8. This promise is durable

This Covenant binds CollabHub and any successor. If we are ever involved in a merger, acquisition, or sale of assets, the acquirer must continue to honor this Covenant for the content and data transferred. If we ever propose a change that would weaken the core commitments above, we will give you advance notice and a meaningful opportunity to export your data and, if you disagree, to close your account before the change takes effect.
